If you use our crew radiation exposure service, we may collect information that you send to us by email, including your email address, flight details and any roster or other document that you choose to provide.

We use this information to identify your flights, calculate estimated aviation radiation exposure, prepare and deliver your exposure report, and maintain your exposure history where applicable.

Roster documents

Roster documents are used only to extract the information required to provide the service. Original roster documents and email attachments are deleted after processing and are not retained as part of your exposure record.

Where possible, please provide only information necessary for the service. If your roster contains information about other people, you should remove or redact that information before sending it to us.

You should only send an employer-issued roster or other document where you are permitted to do so.

Information we retain

After processing, we may retain information required to provide your exposure history, including:

• your email address;
• flight dates, flight numbers, origins and destinations;
• radiation exposure calculations and associated model information; and
• records relating to reports we have provided to you.

We do not need to retain the original roster document in order to maintain this record. Exposure dose records are stored encrypted.

Automated processing

We may use automated systems, including artificial intelligence services, to extract flight information from documents and messages submitted to the service. Radiation exposure calculations are performed using Amentum's scientific models and data services rather than generated by an artificial intelligence model.

Information may be processed by third-party cloud and technology service providers acting on our behalf for the purpose of operating the service.

Deletion

You may ask us to delete your crew radiation exposure records at any time by contacting us at contact@amentum.com.au. Subject to any information we are required to retain by law, we will delete the personal exposure information associated with your account or email address.

Purpose limitation

Information submitted to the crew radiation exposure service will not be provided to your employer or airline without your permission, except where required by law.

We will not use information contained in your roster to make employment decisions or provide information about your employment activities to your employer.

We may disclose personal information to:

• third party service providers for the purpose of enabling them to provide their services, including (without limitation) IT service providers, data storage, web-hosting and server providers, debt collectors, maintenance or problem-solving providers, marketing or advertising providers, professional advisors and payment systems operators
• our employees, contractors and/or related entities
• anyone to whom our business or assets (or any part of them) are, or may (in good faith) be, transferred
• credit reporting agencies, courts, tribunals and regulatory authorities, in the event you fail to pay for goods or services we have provided to you
• courts, tribunals, regulatory authorities and law enforcement officers, as required by law, in connection with any actual or prospective legal proceedings, or in order to establish, exercise or defend our legal rights
• third parties, including agents or sub-contractors, who assist us in providing information, products, services or direct marketing to you. This may include parties located, or that store data, outside of Australia
• third parties to collect and process data, such as Google Analytics or other relevant businesses. This may include parties that store data outside of Australia

By providing us with personal information, you acknowledge that some third parties may not be regulated by the Privacy Act and the Australian Privacy Principles in the Privacy Act and if any third party engages in any act or practice that contravenes the Australian Privacy Principles, it would not be accountable under the Privacy Act and you will not be able to seek redress under the Privacy Act.

By providing personal information to us, you consent to us collecting, holding, using and disclosing your personal information in accordance with this Privacy Policy.
